How much does catering cost? Prices per person and budget

The price depends on the number of guests, the duration and the type of event. In the examples on this page, a cocktail reception works out at between €12 and €16 per person, VAT included.

Quick maths: each piece costs around €2 on average. A cocktail reception (4 to 8 pieces per person) comes to between €8 and €16 per person; if it replaces a meal (10 to 14 pieces), between €20 and €28.

* The minimum order is €100, so the 10-person example includes more pieces than needed. If some guests have special diets, you can swap trays for gluten-free, vegetarian or vegan options.

Define the type of event

When planning catering, choosing the menu is usually the hardest part: with so many different guests, it's difficult to please every taste or special dietary need. At Freshli we want to help with a few tips so you can choose well. Depending on the time of the event and its duration, we can broadly define 2 types of catering as a starting point:

Cocktail - Lunch/Dinner. Can replace a meal.

Cocktail - Appetiser. Does not replace a meal.

How many bites should you order?

To choose the right quantity for your catering based on the number of guests, we work out the number of bites per person, as it's the most practical method and lets us know exactly how many pieces we'll need for people with special diets.

For a cocktail reception between meals, allow roughly 4 to 10 bites per guest, depending on how long the event lasts.

Which bites should you choose?

For balanced finger food catering, we offer a selection of bites served in mini portions, whose charm lies precisely in being as varied as possible: different textures, flavours and aromas. The spread is rounded off with a range of drinks to match the food.

For a balanced buffet, the ideal is to combine sweet and savoury pieces at a ratio of 1 sweet piece for every 3 savoury ones (up to a maximum of 3 sweet pieces), unless you want to treat your guests specifically to what's known as a sweet buffet: a full assortment of sweets, desserts and pastries for them to try at leisure. This sweet tasting should include something lighter, such as a fruit selection, to balance the meal.

How much does catering for 50 people cost?

With our example of a 3-hour cocktail reception with 8 pieces per person, catering for 50 people costs €803 VAT included, around €16 per person. Delivery is added based on postcode.

How much does catering for 30 people cost?

A 2-hour cocktail reception for 30 people, with 6 pieces per person, costs €356 VAT included, under €12 per person.

Can I order catering for 10 people?

Yes. The minimum order is €100, so five trays are more than enough for 10 people. Our 10-person example comes to €132 VAT included.

How many pieces should I allow per person?

For an appetiser that doesn't replace a meal, 4 to 10 pieces per person depending on duration. If the catering replaces lunch or dinner, 8 to 14 pieces per person.

What is the minimum order?

The minimum order is €100, delivery not included. Orders must be placed 3 business days in advance.

Does the price include delivery?

No. Delivery cost is calculated by postcode at checkout. If you'd rather collect your order, collection from our Barcelona points is free.
